Work & Rest – Admin Flow User Manual
Work & Rest – Functionality Description
Background
The Work & Rest (W&R) module is designed for vessel departments (not land-based). It meets the requirements of Norwegian legislation, as described by the Norwegian Maritime Authority (Regelverket om hviletid – Sjøfartsdirektoratet). The purpose is to ensure that personnel on board can log their work and rest hours and complete the mandatory W&R reports in a logical, efficient, and paperless way.
✅ No printing needed – all records are stored digitally.
Archives
Seafarer archive: Each crew member has access to their own history.
Vessel archive: Administrative personnel on board can view and follow up all crew.
All archives are within the W&R module – no need to search elsewhere.
Functionality
The W&R module is integrated with the Crewing Module, which has two variations:
Activity-based (ABSM)
Trip-based (TBSM)
Both are treated the same way, so crew can work consistently across vessels regardless of setup.
Work Schedules (WS)
A crew member must be confirmed on board before being assigned a Work Schedule.
The WS defines the watch pattern.
The system automatically generates the schedule every day at 23:59 (retrospectively).
Manual input is only required for:
1. Work Schedule Templates (WS)
Work Schedule Templates define regular work/rest patterns.
How to create a Work Schedule Template:
Go to the Admin section.
Create a new template and give it a clear name (e.g., Day Shift, Night Shift, Sixonoff, Galley).
Mark the work hours or rest hours on the time bar.
2. Work Plan Templates (WP)
Work Plan Templates handle temporary situations that differ from normal work schedules.
Examples:
Key differences from Work Schedules:
A Work Plan follows real hours of the day on board.
Each plan is date-specific and can be assigned to individuals or groups (e.g., Travel Home Day – Captain, Travel Home Day – Chief Mate).
Why do we differ between Work Schedule and Work Plan? Read more here.
3. Overtime Types
Administrators must define overtime types.
4. Crew Positions for W&R Registration
The company must decide which positions in the company register Work & Rest on board.
How to set this up:
In the admin view, locate the job position.
Use the tick box to include or exclude it from W&R registration, see below:
Important:
Make sure that positions get set up correctly with watch duties before using the module.
Turning off registration (watch duties) after it has started may cause issues for crew members already on board.
